Challenge:

City of London had thousands of templates. Not only did each sub-department have its own letter template, they often had two or three letter templates - one for each printer type. A totally unsupportable situation especially when rebranding was required.

Solution:

Single Letter template (also one for Fax, Memo and Report) for the whole organisation to support all departments and sub-departments and all printers.

Benefit:

The single template approach has transformed document production at the council. Now all departments are able to quickly produce highly advanced documents which print to the correct letterhead/plain trays and adopt the corporate brand. Single point of maintenance has made the templates easy to modify. Data lists for office addresses and departments externalise all the data.


This advanced set of templates are used by more than 2000 users in a busy local government. Users see the toolbar from which they have quick and easy access to the templates.

The City of London letter is a sophisticated mix of contact information, logos, graphics and positional data. The dialog enables this letter to be created easily and quickly.

The dialog looks complex but in fact it is almost entirely pre-populated from previously remembered information or by list selection. The dialog has many features:

A particular feature of the dialog is its rerunability. Say the user having created the letter wants to change so of the information. They press a rerun button and the dialog is redisplayed exactly as it was when they created the letter. User can then alter the selections and re-populate the letter.
